Privacy Policy
This policy explains what Vakara collects, how we use it, and when we share it to operate the service and the integrations you choose to connect.

Overview
Vakara provides a workspace for client relationships, communications, tasks, invoices, payments, finance workflows, and AI-assisted follow-through. We collect and use information to provide, secure, maintain, and improve those services.
We do not sell personal information to third parties. We share information only with partners and service providers as required to use integrations you enable and to operate, secure, support, and improve Vakara.
Information We Collect
We collect account information such as your name, email address, authentication details, organization or workspace settings, billing status, and support communications.
We collect the content you add to Vakara, which may include contacts, client records, messages, notes, tasks, projects, invoices, payment records, transaction details, files, and other workspace content.
When you connect integrations, we process information made available by those services as needed for the features you authorize. Examples may include email, calendar, file, messaging, telephony, payment, financial account, and customer records from providers such as Google, Gmail, Google Drive, Google Calendar, Zoom, Twilio, Stripe, and similar services.
We also collect technical and usage information such as device and browser details, IP address, logs, feature usage, diagnostics, cookies or similar technologies, and security events.
Google API Data and Limited Use
When you connect a Google account, Vakara requests Google OAuth scopes for Gmail, Drive, and Calendar features. The current application configuration uses Gmail access, Drive read and file access, and Calendar access so Vakara can sync Gmail conversations you use in the workspace, retrieve attachments, create or send drafts at your direction, index or save Drive files you choose, maintain Drive watch folders, and read or manage calendar events for scheduling features.
Vakara does not use Google API access to immediately and permanently delete Gmail messages or threads. Gmail organization features use app-local state, filtering, archiving, or label changes such as removing the Inbox label.
Vakara's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Google user data is used only to provide or improve user-facing Vakara features, maintain security, comply with law, or complete a business transaction with required consent. We do not sell Google user data, use it for advertising, use it to determine creditworthiness, or transfer it to data brokers, advertising platforms, or information resellers.
Human access to Google user data is limited to cases where you ask us for support and authorize review of specific data, where access is necessary for security or abuse investigation, where access is necessary to comply with law, or where data is aggregated or de-identified for internal operations.
How We Use Information
- Provide and maintain Vakara, including account access, workspace features, synchronization, search, automation, AI assistance, billing, and support.
- Operate integrations you choose to connect, including sending requests to integration partners and receiving integration data needed for authorized features.
- Process subscriptions, payments, invoices, and related billing events through payment and financial service providers.
- Protect Vakara, users, and third parties from fraud, abuse, security threats, unauthorized access, and service misuse.
- Analyze service performance, troubleshoot issues, improve reliability, and develop product improvements.
- Comply with legal obligations, enforce our terms, and respond to lawful requests.
AI and Automation
Vakara includes AI-assisted features that may use your prompts, workspace content, messages, notes, files, integration data, and related context to generate requested summaries, drafts, classifications, action items, or other outputs.
Where AI-assisted features process Google user data, that processing is limited to providing or improving user-facing Vakara features you use, such as search, summarization, drafting, scheduling, document understanding, and follow-through assistance.
AI outputs may be incomplete or inaccurate and should be reviewed before use. We use AI providers and infrastructure partners as needed to provide these features.
How We Share Information
We do not sell personal information to third parties and we do not share personal information for cross-context behavioral advertising.
We share information with service providers and partners only as needed to operate Vakara, provide infrastructure, process payments, deliver communications, support integrations you enable, provide AI features, secure the service, analyze performance, respond to support requests, comply with law, or complete a business transaction such as a merger, financing, or acquisition.
If you connect a third-party integration, Vakara may send information to that integration partner and receive information from that partner as required for the feature you authorize. Third-party services are governed by their own terms and privacy policies.
Your Choices
- You can update account information and workspace settings where the service makes those controls available.
- You can disconnect integrations, although doing so may limit or disable features that depend on those integrations.
- You can request access, correction, deletion, or other privacy assistance by contacting us at privacy@vakara.io.
- You can configure browser or device controls for cookies, notifications, and similar technologies, though some features may not work without them.
State Privacy Rights
Depending on where you live and whether applicable privacy laws cover your relationship with Vakara, you may have rights to know, access, correct, delete, opt out of certain sales or sharing, limit certain uses of sensitive personal information, and avoid discrimination for exercising privacy rights.
Because Vakara does not sell personal information or share it for cross-context behavioral advertising, we do not offer those activities as part of the service. If you have questions about your rights, contact privacy@vakara.io.
Retention
We retain information for as long as needed to provide the service, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, preserve security, and support backups or audit logs.
Deletion requests may be subject to legal, security, backup, accounting, fraud prevention, dispute, or operational exceptions.
Security
We use administrative, technical, and organizational safeguards designed to protect information. These safeguards include HTTPS for data in transit, access controls, operational logging, provider-level infrastructure protections, and application-level encryption for OAuth tokens and other channel connection secrets stored by Vakara.
For Google integrations and other sensitive integrations, we limit token access to the service operations that need it, refresh or expire connections when needed, and let users disconnect integrations. No internet service can guarantee absolute security, so you should use strong account credentials and keep integration access under your control.
Children
Vakara is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new last updated date.
